The automated workflow reduced the time spent processing Revolut expenses by approximately 60%, and the finance department now operates with greater agility, less duplicated work and stronger data consistency between systems.
The solution also improves financial governance by ensuring that categories, subcategories and cost centres are aligned across Revolut and Salesforce.
"By transforming a manual process into a seamless automated workflow, we not only reduced operational effort and enhanced data quality, but also empowered the organization with faster, more reliable financial insights, laying the groundwork for a more agile and scalable future."
As Stellaxius continues to grow, the internal operations seek the same level of efficiency, scalability and governance Stellaxius delivers to customers. One of the clearest opportunities was within the Finance department, where Revolut expenses still had to be manually inserted as Purchase Orders in Salesforce.
To solve this, Finance team partnered with Stellaxius’ Integration team to connect Revolut and Salesforce through MuleSoft and the standard Salesforce connector, transforming a manual, repetitive process into an automated workflow that creates fully categorised Purchase Orders in the correct cost centres.
All department leads use Revolut to manage expenses, but the Finance team still had to duplicate each expense manually in Salesforce, consuming time, increasing operational effort and creating room for errors or inconsistencies.
The challenge went beyond manual workload, as the lack of native integration between Revolut and Salesforce limited scalability and made financial processing increasingly dependent on repeated human intervention, affecting speed, accuracy, and visibility as expense volumes grew.
The Finance team needed a more reliable way to process closed and documented expenses, align categories and cost centres across systems, and reduce the operational risk associated with manual data entry.
Stellaxius approached the project as both an internal transformation and a proof point for its advisory model, with Finance and Integration teams working closely to define requirements, validate results and ensure the solution reflected daily financial operations.
The Integration team built a daily automated routine that connects Revolut to Salesforce, processing all closed and documented expenses every night and generating Purchase Orders with the correct categories, subcategories and cost centres.
MuleSoft played a central role in the architecture by exposing the relevant Revolut APIs through secure, scalable and reusable integration best practices, creating building blocks that now support the wider Stellaxius integration ecosystem.
For the Salesforce side, the standard MuleSoft connector helped accelerate development and avoid unnecessary custom integration work. This choice also simplified future maintenance and support, giving Stellaxius a solution that can adapt as requirements change or new functionalities are added.
The collaboration required technical persistence, as the team worked through challenging interactions with Revolut’s engineering team to understand the API and ensure reliable automation, while balancing the internal initiative with ongoing client commitments.
Future enhancements will focus on automating the upload of supporting documents, removing the last manual step in the process.
